How to Streamline your Equine Business: Time Management Tips for Riding Centre Owners

Having run a riding school for many years, I know firsthand the challenges of managing time effectively. Juggling the demands of teaching lessons, overseeing the stables, and handling administrative tasks can sometimes make you feel like there aren’t enough hours in the day. But fear not! I’ve been in your shoes, and I’m here to share the time management tips that I personally implemented and found to be successful. Let’s take a look at some of the things you can start implementing today to have a more balanced and productive life.

1. Start with Prioritisation:

Just like a horse needs a clear path to follow when you are riding, you need a prioritised to-do list to navigate your day. Begin each morning by identifying the most pressing tasks that require your attention. By focusing on the essential and urgent matters first, you’ll set yourself up for a productive day ahead.

I recommend having schedules set up for different types of routines so there is no mad preparation at the last minute. Ie in a riding centre, weekends have a completely different routine to Mondays, so different tasks will be prioritised. 

2. Embrace the Power of Delegation:

Remember, running a riding school doesn’t mean you have to do everything on your own. Delegate tasks to capable and reliable staff members who can help lighten the load. Having a clear team structure means everyone knows their own tasks and responsibilities, so they don’t have to hang around waiting for instructions. 

Make sure you have regular team meetings. I’m always amazed when I visit riding schools how many don’t make time every week to go over the routine and workload ahead, ensuring everyone knows their task and what the week ahead has in store. Spending an hour on team meetings every week can save time in the long run as your yard will then run on a well-oiled system.

3. Harness the Power of Technology:

In this digital age, technology can be your trusty steed. Embrace time-saving tools like scheduling software, online booking systems, and automated communication platforms. By streamlining administrative tasks, you can allocate more time to the activities that truly require your expertise and attention.

You may have to invest money upfront to put systems in place but they will save a lot of time in the long run. Or just simple things like having a What’s App yard group where you can all communicate in real time if there is an emergency can make the world of difference.

4. Look at your Yard Systems.

Running the yard itself is one of the most time consuming tasks a riding centre has to face. Mucking out, filling haynets, cleaning and filling water buckets , sweeping the yard – all these things take time.

Investing in time saving devices can make a big difference, such as automatic waterers, feed and hay mangers and large wheelbarrows. You could also re-evaluate how you muck out. Instead of giving everyone a certain amount of stable sto do every day, give everyone specific tasks  instead. So Claire mucks out the stables, Sarah empties the wheelbarrows and makes sure there is a second empty one ready, Miles sweeps the yard, Tracey does hay and feeds etc. Alternate who does what daily so no one gets bored as well. Trust me, doing it this way can save a heap load of time! 

5. Ride the Wave of Task Batching:

Imagine riding through a series of jumps in a flowing sequence. Apply the same concept to your daily tasks by grouping similar activities together. Dedicate specific time blocks for lesson planning, client communications, financial management, or marketing efforts. By minimising distractions and focusing on one type of task at a time, you’ll achieve higher efficiency and better results. Just make sure you are firm with your work blocks as it’s easy to be pulled away into a mini-emergency!

6. Learning to Say No with Grace:

As a dedicated riding school owner, you naturally want to please everyone who crosses your path. However, it’s important to recognise your limits. Learn to graciously decline requests or commitments that don’t align with your goals or drain your energy. By saying no to what doesn’t serve you, you create space for what truly matters. I can’t emphasis the importance of this tip enough. Over-committing yourself puts you under too much stress and you end up in a flap and end up getting nothing done – I know, I’ve been there! 

7. Nurturing Your Well-being:

Just as your horses require regular rest and care, so do you. Remember to take breaks throughout the day to recharge your own batteries. Schedule time for exercise, relaxation, and personal activities that don’t involve your business. By nurturing your well-being, you’ll be better equipped to handle the daily demands of your riding school.

Having walked the path of running a successful riding school, I understand the frustrations of time management all too well. By implementing these tips not only will your business run more efficiently but you can create a harmonious balance between work and personal life.
